Privacy Policy

State of the Arc Welding & Services LLC ("we," "us," "our") operates the sotaweld.com website, the SOTA Crew mobile app, and the associated employee tools. This page explains what information we collect and how we use it.

Information we collect

For website visitors requesting a quote, we collect the name, phone number, email address, and message you submit through our quote request form.

Along with a quote request we also record how you reached the site: the page you arrived on, the site or search that linked you here, any campaign tags on that link, the pages of ours you viewed during the visit, and your browser and screen size. This tells us which of our efforts are actually reaching people. It is kept with the request itself, it is not sold or shared, and it is not used to track you across other websites.

For employees using the crew tools (web or app), we collect:

• Your name and the email address used to log in
• Work you log: job site, date, hours, description, per diem status, and any helpers you logged
• Safety equipment status you report (e.g. gas monitor, fire extinguisher, PPE needs)
• For office/admin accounts only: pay rate and bill rate information used for job costing

We do not collect precise location data, and the app does not access your camera, contacts, or photos.

How we use this information

• To respond to quote requests
• To track logged work hours for payroll and job billing
• To alert office staff in real time when a safety issue is flagged in the field
• To manage employee accounts and access to the crew tools

How we store and share information

Data is stored with Supabase, our database and authentication provider, and safety alerts are sent via Resend, our email provider. We do not sell your information or share it with advertisers. Data is only accessible to State of the Arc Welding & Services LLC staff with an authorized account.

Accounting integration (QuickBooks Online)

Where an administrator has connected our QuickBooks Online company file, the crew tools use that connection to create invoices from work that has already been reviewed and approved. Through that connection we read our customer list and our products and services, and we create invoices and, occasionally, new customer records. We do not access payroll, banking or payments data, and we do not access any company file other than our own.

No customer financial data is copied out of QuickBooks into our systems. We store only the QuickBooks record identifiers needed to link a job to the right customer and to avoid billing the same week twice. Access credentials for the connection are held encrypted on our server and are never exposed to the browser or the mobile app. The connection can be revoked at any time from within QuickBooks; see our disconnect page.

Intuit, the provider of QuickBooks Online, handles that data under its own privacy statement.

Data retention

We retain employee work records for as long as needed for payroll, invoicing, and business recordkeeping. You can request deletion of your account by contacting us below.

Your choices

Employees can request a copy of their logged data, request corrections, or request account deletion at any time by contacting the office.

Children's privacy

Our services are intended for business use by adults and are not directed to children.

Changes to this policy

We may update this policy from time to time. Changes will be posted on this page with an updated date.
