Terms of Service

These terms cover the crew portal at sotaweld.com/employee, the SOTA Crew mobile app, and any accounting integrations connected to them. They are operated by State of the Arc Welding & Services LLC ("we," "us," "our") of Odessa, Texas.

Who these tools are for

These are internal business tools for our own employees and office staff. They are not offered to the public, not sold, and not available for use by other companies. Accounts are created by us and are for the person they are issued to.

Acceptable use

• Log only work you actually performed, on the date you performed it.
• Do not share your login or let anyone else submit under your name.
• Do not attempt to access records belonging to another employee.
• Office and admin functions, including billing, are limited to authorized accounts.

Accuracy of submitted work

Hours, weld inches, per diem and helper entries you submit are used for payroll and for invoicing customers. Submitting work you did not perform, or hours you did not work, may be treated as a payroll matter.

Accounting integration

Where you have connected an accounting provider such as QuickBooks Online, we use that connection only to create and read records for our own company file: customers, products and services, and invoices generated from approved work. We do not use it to access unrelated financial data, and we do not share it with third parties. The connection can be revoked at any time from within QuickBooks or from our disconnect page.

Availability

These tools are provided as-is for the running of our business. We do not guarantee uninterrupted availability, and we may change or withdraw features. If the tools are unavailable, report your hours to the office directly.

Your data

What we collect and how it is handled is set out in our Privacy Policy.

Ending access

Access ends when employment ends. We retain submitted work records afterwards for payroll, invoicing and recordkeeping, as described in the Privacy Policy.

Changes to these terms

We may update these terms. Changes are posted on this page with a new date.
